The 1st Potton Scout Group Annual General Meeting this year is taking place on Friday, 16th June, at Potton Scout Group’s Headquarters.
What’s the AGM?
A Scout Group is required to hold an Annual General Meeting within six months of the end of the financial year. At 1st Potton, our financial year is aligned with the tax year, which runs from April to March.
There are both formal and informal parts to the meeting.
The specific role of the formal part is to:
- Receive and consider the annual report of the Group Executive Committee, including the annual statement of accounts, that has previously been externally checked and then approved by the Executive Committee
- approve the Group Scout Leader’s nomination of the Group Chair and nominated members of the Group Executive Committee
- elect a Group Secretary and Group Treasurer
- elect certain members of the Group Executive Committee
- appoint an auditor or independent examiner or scrutineer, as required by POR
- set a quorum for Executive Committee meetings (the number of members required for decisions made in the meeting to be binding).
What about the informal part?
promote the Group – to current members and the wider community
- Highlight and celebrate the successes of the past year
- Plan for the future activities of the Scout Group
- Meet and communicate with other members of the Group Scout Council
Who Should Attend?
The AGM is open to all members of the Group Scout Council, which, if you are reading this, likely includes you.
The Group Scout Council is essentially those connected with the 1st Potton Scout Group, including our wonderful volunteers (aka leaders), the Patrol Leaders from our Troop, and any of the young people’s parents and carers.
Why Should You Attend?
This is the only time each year the Group Scout Council meets, so it’s your best opportunity to influence how the Group will run and provide Scouting in Potton over the ensuing 12 months.
You will also have the opportunity to meet with our leaders, which may be helpful, especially if your young person is moving between sections at the end of this term.

But in summary, please plan to get to the Scout hut at 6.45 pm latest as the meeting will start promptly at 7 pm. The formalities will be over within 45 minutes or so, and we’ll have plenty of refreshments afterwards.
